How Kept works

A month with Kept, start to finish

Think of an ordinary month: a customer buys, a supplier sends a bill, and the bank statement arrives. Kept keeps the record together so you can see what happened without keeping a second set of books.

Three moves

Snap it. Kept reads it. You tap Right.

That is the whole routine for a receipt.

    Snap it

    Take a photo of the receipt when you get it, or upload the PDF your supplier sent.

    Kept reads it

    Kept reads the supplier, the date, the total and whether it is a tax invoice, then finds the card or bank payment that goes with it.

    You tap Right

    You see one card with Kept's suggestion. Tap Right, or change what is wrong. Only then does it go into your books.

What happens, and who does it

  1. 01

    A customer buys from you

    You make the invoice, check it and issue it. Kept records the sale and shows what the customer still owes. When they pay, you record the payment against that invoice, so you can see it has been paid.

  2. 02

    A bill or receipt arrives

    Take a photo of it. Kept reads the supplier, the amount and the VAT, and suggests how to record it. You, or someone you trust, check it and tap Right. The document stays with the purchase. When you pay the bill, record the payment against it, so you can see what is still due.

  3. 03

    The bank statement lands

    Bring in the statement and compare each bank payment with what you have already recorded. Matching means linking a transfer to the invoice payment or other record it belongs to. It does not mean guessing what the money was for. You check anything left unmatched before you finish checking the bank.

  4. 04

    The quarter comes to an end

    Kept prepares the VAT return from what is in your books and shows which records make up each box. You check how VAT was applied. That includes any reverse charge you chose for a service bought from abroad (you account for the VAT instead of the supplier). You also check that the return agrees with your books. A person decides what to file and submits it; Kept does not file with the FTA for you.

    Your accountant looks over the books

    If you give your accountant access, they can see your full books and account balances, check the bank and the return, and make corrections. Every correction stays visible. You do not have to copy the same invoices into another system. An accountant is not included with the software; you choose who works with you.

End of the quarter

Your VAT return, already filled in.

Everything you checked during the quarter lands in the right box. Open any box to see the receipts and invoices behind it, then copy the figures into EmaraTax.
