Plain answers about your books, your accountant and what Kept does not do for you.
Getting started means bringing across the books you need.
Who is Kept for?
Kept is for a small business in the UAE that keeps its own books. It also lets an accountant who looks after several businesses work in each client's books, while the books stay with the client.
What do I need before I can use Kept?
You need your company details and a chart of accounts (the list of categories your money is recorded under). If you are switching systems, bring your opening balances and the invoices and bills that are still unpaid.
Can I move across from another system part-way through a year?
Yes. Enter your balances as they stand on the day you switch, and bring over each unpaid invoice and bill with its original number and dates. You do not have to re-enter every transaction from the old system.
Does someone have to set up my chart of accounts?
The chart of accounts needs to be set up before you record transactions. You or your accountant can do that in Kept; the software does not include an accountant to do it for you.
Can my accountant have access?
Yes. Kept has separate roles for the owner, staff and an accountant. There is also an auditor role that can view but not change anything, and its access can have an end date. An accounting firm can work in your books after the owner accepts its link; the owner can end that link.
The VAT return follows the entries in your books.
Does Kept file my returns for me?
No. Kept prepares the VAT return from your books and the corporate tax calculation from your financial statements, with the figures and documents for a person to check. A person files the returns; Kept does not submit or send them to the Federal Tax Authority (FTA).
What happens if I am not registered for VAT yet?
You can keep your books in Kept, but do not add VAT to your sales until your registration is settled. Check with your accountant or the FTA whether and when you need to register; Kept does not make that decision for you.
How does Kept handle reverse charge on imports?
For a service bought from abroad, a person chooses reverse charge (you account for the VAT instead of the supplier) when entering the supplier bill. Kept then records both sides of the VAT entry; it does not decide the treatment from a document photo.
Can I see how a figure on the return was arrived at?
Yes. Open a box on the return to see the records behind it and trace an amount back to its document. You can check that the return agrees with your books before filing.
Corporate tax starts with the financial statements.
Does Kept calculate corporate tax?
Kept prepares your financial statements under IFRS for SMEs (the accounting standard for smaller companies) from your books, and works out corporate tax from their profit. Each adjustment has its reason noted, for you to check before you file yourself.
What is Small Business Relief and will Kept tell me if I qualify?
Small Business Relief is a rule that may apply to eligible UAE businesses. Kept lets you record it in the tax calculation, but it does not decide whether you qualify; check the current conditions with your accountant or the FTA.
Do I still need an accountant?
That depends on your business and the advice you need. Kept prepares records and calculations for you to check, but it does not include an accountant or replace professional judgement.
What happens to the record when something is corrected?
An entry already in your books is corrected with a visible opposite entry and a new one, rather than being quietly overwritten. Closed periods stay closed, and the record keeps who made each change.
Your records, language and costs should be clear.
Where is my data kept?
Business records are stored in a managed PostgreSQL database (a widely used database system) run by Supabase. Each business is kept in its own separate space, and security rules inside the database limit each business to its own records. We do not claim the data is kept in any particular location.
Is my data separated from other companies' data?
Yes. Every record belongs to one company, and the database itself checks access to each record, not just the screens you use. Access to another company's books needs a link that its owner accepts.
Can I get my data out?
Yes. You can export a summary of every account balance, the full record of your transactions and the reports on what is owed and for how long, as report files. We cannot confirm here whether the files are CSV, spreadsheets or PDF, so ask for a sample before relying on a particular format.
What does it cost?
There are three plans: Starter at AED 79, Business at AED 149 and Pro at AED 249 a month, excluding VAT, with two months free when you pay yearly. To ask which one fits your business: Contact us.
Does it work in Arabic?
Yes. Kept works in Arabic and English, with the Arabic interface reading right to left throughout. Invoices carry the customer's names in both languages.
